#4 Checklists


In order to carry out a Junior Crew project, many organisational questions have to be clarified. Good and transparent communication between all participants is very important. The following checklists can help with planning and implementation.

# Planning
✓ Who is 'in charge' of the overall organisation?
✓ What do we want to achieve regarding the contents of the meeting?
✓ Has a workspace been reserved?
✓ Is the technical equipment (e.g. a beamer for viewing the trailers) ready to use?
✓ Who will take care of the catering?
✓ Who will be the host and who will take on the role of 'moderator'?

# Meeting with all Junior Crew groups
✓ Does everyone know the schedule?
✓ Who will record/document the results?
✓ Are all participants and parents informed about the meeting?
✓ Has travel to and from the meeting been organised?

# Theatre visits / excursions
✓ Have parents (e.g. in a letter to the parents) and the school been informed?
✓ If necessary, have consent forms (also for photography and filming) been obtained?
✓ If necessary, have participants been exempted from lessons?
✓ Have tickets been reserved?
✓ If necessary, has an artist talk been organised for after the show?
✓ Have arrival and departure arrangements been made (including public transport connections and tickets)?
✓ Has everyone been informed about the date and time of meeting and departure?
✓ Is there a contact list?
✓ Who is liable for damages during a joint excursion or a visit to the theatre?
✓ Who is responsible for supervising the group?

# Evaluation
✓ What form should a joint evaluation by Junior Crew and adult festival organisers take?
✓ How can we see eye-to-eye?
✓ How sustainable is the feedback from the Junior Crew and will it have an influence on the next festival?
✓ What opportunities for development and creativity does the project offer the participants?
✓ What should be the role of the children and teenagers?
✓ What can be expected from the participants?
✓ How do you create space for rehearsals or proper agreements in the hustle and bustle of the festival?
✓ How binding can/must process-oriented work and development be in the festival?
✓ How do you prepare the participants for their active involvement in the festival, in encounters with the audience?
✓ What can be done better next year - because nothing ever runs smoothly?
